SOP - Documenting Projects

Purpose

To ensure all completed line painting projects are documented through high-quality photos for records, marketing purposes, and client references.


Scope

This SOP applies to all personnel responsible for documenting completed projects, including capturing photos and organizing them for future use.


Procedure

Step 1: Pre-Documentation Preparation

  1. Gather Necessary Equipment:

    • Smartphone or digital camera with sufficient resolution.
    • Tripod (if required for stability).
    • Project checklist or job specifications for reference.
  2. Ensure the Site is Ready for Photos:

    • Wait for paint to dry completely to avoid smudges or imperfections in the photos.
    • Clean up the work area, removing debris, tools, and materials.
  3. Verify Job Completion:

    • Confirm that all tasks have been completed and inspected as per client specifications.

Step 2: Capturing Photos

  1. Take Overview Shots:

    • Capture wide-angle photos showing the entire project (e.g., the full parking lot or road section).
    • Include key features such as stencils, arrows, or specialty designs.
  2. Focus on Details:

    • Take close-up shots of:
      • Straight lines and clean edges.
      • Stencils or symbols (e.g., handicap logos, directional arrows).
      • Any unique or custom features requested by the client.
  3. Highlight Before-and-After Comparisons:

    • If possible, include “before” photos taken prior to the project for a side-by-side comparison.
  4. Ensure Proper Lighting:

    • Take photos during daylight hours or use adequate artificial lighting.
    • Avoid shadows or glare that might obscure details.
  5. Include Branding (Optional):

    • Incorporate branding elements (e.g., a CPLS sign or logo in the frame) for marketing purposes.

Step 3: Organizing and Storing Photos

  1. Create a Project Folder:

    • Label the folder with the client name, job location, and completion date.
      • Example: ClientName_JobLocation_YYYY-MM-DD
  2. Sort Photos:

    • Separate photos into categories, such as:
      • Overview shots.
      • Detailed close-ups.
      • Before-and-after comparisons.
  3. Rename Files for Clarity:

    • Use descriptive filenames to make photos easy to locate.
      • Example: ClientName_ParkingLot_Overview.jpg
  4. Backup Files:

    • Store photos in a secure location, such as:
      • A shared cloud storage service (e.g., Google Drive, Dropbox).
      • A physical backup device (e.g., external hard drive).

Step 4: Using Photos for Marketing

  1. Obtain Client Permission:

    • Ensure clients have signed a media release form allowing the use of their project photos for marketing.
  2. Select Photos for Marketing:

    • Choose high-quality images that showcase the best aspects of the completed work.
  3. Publish on Marketing Channels:

    • Upload selected photos to:
      • Your company website.
      • Social media platforms (e.g., Instagram, Facebook, LinkedIn).
      • Portfolios or case studies for future client proposals.
  4. Include Captions and Context:

    • Provide a brief description of the project, including:
      • Client name (if permitted).
      • Job location.
      • Scope of work (e.g., parking lot lines, custom stencils).

Step 5: Maintaining Documentation

  1. Update Project Records:

    • Add photos and project details to the company’s internal records for future reference.
  2. Review and Organize Regularly:

    • Conduct regular audits to ensure all project folders are up-to-date and properly labeled.
  3. Leverage Documentation for Training:

    • Use completed project photos in training sessions to demonstrate best practices and inspire new hires.

Checklist for Documenting Projects

  • Take wide-angle and close-up photos of the completed work.
