SOP - Job Scheduling and Assignments

Purpose

To ensure efficient organization of daily tasks and effective allocation of team members to complete line painting projects on schedule and to client satisfaction.


Scope

This SOP applies to all supervisors and managers responsible for scheduling jobs and assigning tasks to team members.


Procedure

Step 1: Collect Job Information

  1. Gather Project Details:

    • Client name and contact information.
    • Job location and access instructions.
    • Scope of work (e.g., parking lot lines, road markings, stencils).
    • Deadlines or specific time constraints.
    • Special client requests or requirements.
  2. Assess Resources Required:

    • Equipment needed (e.g., Titan Powrliner 3500, blowers, stencils).
    • Paint type and color.
    • Additional materials (e.g., masking tape, cones, signage).
  3. Estimate Time Requirements:

    • Calculate the time needed to complete each task based on the scope of work and team size.

Step 2: Create a Daily Job Schedule

  1. Prioritize Jobs:

    • Rank jobs based on deadlines, client priority, or complexity.
    • Allocate high-priority jobs to earlier time slots to ensure timely completion.
  2. Break Down Tasks:

    • Divide each job into specific tasks (e.g., surface preparation, line marking, stencil application).
    • Estimate the time required for each task.
  3. Develop a Timeline:

    • Use a shared calendar, scheduling software, or a physical board to plan the day’s activities.
    • Include buffer times for unforeseen delays.
  4. Communicate the Schedule:

    • Share the schedule with team members via email, group chat, or a printed copy.
    • Provide clear start and end times for each job.

Step 3: Assign Team Members

  1. Assess Team Strengths:

    • Consider each team member’s skills and experience when assigning tasks.
    • Pair experienced workers with newer staff for on-the-job training.
  2. Allocate Roles:

    • Assign specific roles to each team member (e.g., equipment operator, stenciler, surface preparer).
    • Clearly communicate responsibilities to avoid confusion.
  3. Account for Availability:

    • Confirm team member availability for the day and adjust assignments if necessary.
    • Maintain a backup plan in case of last-minute absences.

Step 4: Monitor and Adjust During the Day

  1. Track Progress:

    • Use check-ins (via phone or messaging apps) or site visits to monitor progress.
    • Ensure tasks are being completed on time and according to client requirements.
  2. Reassign Tasks if Necessary:

    • If delays occur, reallocate team members or adjust the schedule to meet deadlines.
    • Communicate changes promptly to all affected personnel.

Step 5: Post-Job Review

  1. Review Completed Jobs:

    • Verify that all tasks were completed to the client’s satisfaction.
    • Document any delays, challenges, or feedback received.
  2. Update the Schedule:

    • Mark completed jobs as finished and prepare for the next day’s schedule.
  3. Evaluate Team Performance:

    • Provide constructive feedback to team members on their performance.
    • Identify areas for improvement or additional training.

  • Plan Ahead:
    • Create schedules at least 24 hours in advance to give team members time to prepare.
