Purpose

Procedure
Step 1: Assign Responsibility
- Assign a key custodian who will be responsible for managing and tracking the storage unit key.

- The name of the person using the key.

Step 2: Use a Designated Key Holder
- Use a designated key holder (e.g., a labeled pouch, keychain, or box) to store the key when not in use.
- Place the key holder in a fixed, easily accessible location such as:
- A toolbox.
- The office drawer.
- A secured, labeled storage cabinet.
Step 3: Establish a Key Return Policy
- After unloading the trailer or using the storage unit, staff must:
- Immediately return the key to the designated key holder or custodian.
- Log the return in the logbook or tracking system.
Step 4: Carry a Spare Key
- Always keep a spare key in a secure location, such as:
- The manager’s office.
- A safe box with restricted access.
- The spare key should only be used in emergencies or if the primary key is misplaced.
Step 5: Conduct Weekly Key Audits
- Assign the key custodian or manager to conduct a weekly audit of the key’s location to ensure compliance with the policy.
- Document the audit in the logbook.
Tips to Avoid Losing the Key
- Use Key Labels: Ensure all keys are labeled with a tag identifying the storage unit.
