SOP - Time Tracking and Payroll

Purpose

To provide a structured approach for tracking employee hours, calculating wages, and ensuring timely and accurate payroll processing.


Scope

This SOP applies to all supervisors and administrative personnel responsible for tracking employee work hours and managing payroll.


Procedure

Step 1: Time Tracking

  1. Select a Time Tracking Method:

    • Use a time tracking system (e.g., a digital tool like Clockify, Toggl, or a spreadsheet).
    • For small teams, manual timesheets or punch cards can also be used.
  2. Set Up Employee Profiles:

    • Record employee details, including:
      • Full name.
      • Job role.
      • Hourly wage or salary.
      • Employee ID (if applicable).
  3. Record Hours Worked:

    • Employees must clock in and out at the start and end of their shifts, including breaks.
    • For off-site or remote work, employees must provide:
      • Job location.
      • Task details.
      • Photos or evidence of completed work (if required).
  4. Verify Timesheets:

    • Supervisors must review timesheets daily or weekly for accuracy.
    • Correct errors promptly by confirming discrepancies with the employee.

Step 2: Calculating Payroll

  1. Determine Pay Periods:

    • Define consistent pay periods (e.g., weekly, biweekly, or monthly).
    • Inform employees of the payday schedule in advance.
  2. Calculate Total Hours Worked:

    • Sum the total hours recorded for each employee during the pay period.
    • Include overtime hours if applicable, and calculate based on local labor laws.
  3. Calculate Gross Pay:

    • Multiply total hours worked by the employee’s hourly wage.
    • For salaried employees, use the agreed-upon amount for the pay period.
  4. Deductions and Taxes:

    • Apply deductions for taxes, benefits, or other contributions.
    • Use payroll software or consult a payroll specialist to ensure compliance with local tax regulations.
  5. Calculate Net Pay:

    • Subtract deductions from the gross pay to determine the net amount.

Step 3: Payroll Processing

  1. Prepare Payroll Records:

    • Use payroll software or a spreadsheet to document:
      • Employee name and ID.
      • Total hours worked.
      • Gross pay, deductions, and net pay.
      • Payment date and method.
  2. Disburse Payments:

    • Use direct deposit, checks, or cash based on employee preferences and company policy.
    • Ensure payments are made on or before the scheduled payday.
  3. Issue Pay Stubs:

    • Provide employees with a pay stub detailing:
      • Total hours worked.
      • Gross pay.
      • Deductions (e.g., taxes, benefits).
      • Net pay.

Step 4: Post-Payroll Review

  1. Verify Payroll Accuracy:

    • Cross-check payroll records against timesheets to ensure all hours are accounted for.
    • Address any discrepancies immediately.
  2. Update Records:

    • Maintain a secure record of all payroll transactions for at least 5 years (or as required by local regulations).
  3. Evaluate Payroll Process:

    • Review the payroll process monthly to identify areas for improvement.
